The Coca Cola Bottler’s Association (CCBA), a division of Coca-Cola Enterprises, has been catering to the needs of its members, providing them cost-savings on products and services since 1914. It acts on behalf of participating Coca-Cola Bottlers in fields like human resources and procurement.
In an effort to cut costs for its members and at the same time improve efficiency, the CCBA has asked Innovative Architects (IA) to provide them with the solutions that would allow better control of information and operations to collect financial data and be able to access them securely while improving auditing capabilities and meeting compliance requirements.
To collect and track financial data, CCBA has been using a Microsoft Excel spreadsheet system that comprised of 26 spreadsheets, each featuring 300 data fields for years. Data was entered manually so accuracy was an issue. When it came to auditing (essential since CCBA is a publicly traded company), the Excel system also failed to deliver – many man-hours were spent in ensuring accuracy and quality assurance of extracted data.
Innovative Architects implemented a Firmware File System (FFS) based on Microsoft’s technology and NSPI Hosted Services to create a new Web portal to help CCBA collect financial data. As a result, using a hosted solution built for the unique needs of the association meant easier and quicker implementation, as well as quicker solutions to auditing problems and handling system assessments.
The new FFS system came with several benefits: real time access to data for bottlers to create, review, complete and approve all reports in a timely manner. Consequently, it has:
- Enhanced data integration
- Increased reporting and data analysis capabilities
- Improved efficiency
- Simplified decision-making
- Reduced costs (as bottlers now can input data themselves without the need of a middle-person)
Now in a secure Web-based environment, not only are CCBA employees able to access data anytime, anywhere, they’re able to communicate and collaborate in real time.
At present, CCBA has a system with the means for creating and managing data, a standard tool set for tracking information, a means for enhance data integration and the standardization for analyzing data accurately.
The 26 spreadsheet that collected data before the new system was implemented, which required manual entry using Microsoft Excel, did not ensure a proper management of data and created problems of auditing. The new system, on the other hand, has allowed CCBA to standardize the collection and management of data, as well as provide a central place for storing and maintaining it.
New procedures can be also implemented for increased data accuracy (as data are no longer inputted manually and therefore there can be less operator typo errors) and tracking purposes.
